How Vale Community Church looks after the personal information you share with us, and the choices you have.
Who we are
Vale Community Church (VCC) is a registered charity (CIO no. 1217399) based in Marston Moretaine. We are the “data controller” for the personal information we hold. If you have any questions about your data, email us at hello@valecommunitychurch.com.
What we collect
We only collect what we need to run church life well. That usually means your name and contact details when you get in touch, join a Life Group, sign up for an event, give, or ask to join our mailing list. If you give, we keep a record of your gifts and any Gift Aid declaration. We sometimes take photos or video at our events (see below).
Why we collect it
We use your information to keep in touch, organise and run our activities, process gifts and Gift Aid, and to keep people safe. Our lawful bases are your consent (for example, joining the mailing list), our legitimate interests as a church community, and, for Gift Aid, our legal obligations to HMRC.
Photos, video & children
We sometimes take photos or short videos at our services and events to share the life of the church. We ask for permission before using images — especially where children are involved — and we never publish children’s names alongside their photos. If you’d prefer not to appear, just tell a member of the team and we’ll make sure of it.
How we store it & who can see it
Your information is held securely and seen only by the leaders and volunteers who need it to do their role. Where we use trusted providers (for example, email, giving or website services) they act under agreement and only on our instructions. We never sell your data or share it with third parties for marketing.
How long we keep it
We keep your information only as long as we need it. Giving and Gift Aid records are kept for as long as the law requires (currently six years for HMRC). You can ask to come off our mailing list, or to have your details removed, at any time.
Your rights & how to contact us
You have the right to see the information we hold about you, to correct it, to ask us to delete it, and to opt out of our communications. To do any of these, email hello@valecommunitychurch.com or write to the Church Secretary. If you’re ever unhappy with how we’ve handled your data, you can contact the Information Commissioner’s Office at ico.org.uk.
